DTF Transfers for Events: How to Prep Merch for a Pop-Up, Festival, or Drop
Nothing kills the energy of a pop-up or merch drop like running out of stock, missing a size, or showing up with shirts that look rushed. Event merch is high-visibility — people are buying because they're excited in the moment — and the quality of your product either builds your brand or hurts it.
DTF transfers are one of the best tools for event merch, because they give you flexibility that pre-printed shirts can't match. Here's how to plan it right.
Why DTF Transfers Are Ideal for Events
When you pre-print finished shirts, you're committing inventory: 24 medium, 18 large, 12 small. If your crowd runs large (or small), you're either stuck with leftovers or turning away buyers.
With DTF transfers, you can:
- Bring blank shirts in every size and press on-demand
- Adjust quantities mid-event based on what's selling
- Offer last-minute design changes without reprinting everything
- Reduce waste — no unsold pre-printed inventory to eat
- Press custom one-offs for people who want something personalized
You do need a heat press at the event (or to pre-press everything), but the flexibility is worth it.
How Far in Advance Should You Order?
For events, we strongly recommend ordering your transfers at least 3–5 business days in advance — even if we offer same-day pickup. Here's why:
- You want time to do test presses before the event
- You can verify colors and sizing before committing to a full press run
- If there are any file issues, there's time to fix them
- You're not scrambling on event day

Planning Your Transfer Order
1. Lock in your designs early Your artwork should be finalized (PNG with transparent background, 300 DPI) at least a week before the event. Last-minute design changes cost you time and can cause errors.
2. Calculate quantities generously Better to have 20% more transfers than you think you need than to sell out early. Unused transfers store easily and can be used at your next event.
3. Think about sizes If you're pressing on-demand at the event, order your transfers at the sizes you'll press most. Common setup: one 12x12 (full front) and one 4x4 (left chest) version of each design.
4. Include a few "extra" designs Have at least one or two designs beyond your main drop — something for the customer who's seen your main design everywhere or wants something different.
5. Don't forget accessories If you're doing tote bags, hats with flat bills, or other items alongside shirts, make sure your transfer sizes are appropriate for each blank. DTF doesn't work on structured hat crowns — for hats, look at embroidery (we do that too).
At the Event: Press Tips
If you're pressing at the event:
- Preheat your blanks for 5 seconds before applying the transfer — this removes moisture and helps adhesion
- Keep your press at 300–315°F for most cotton/poly blends
- 8-15 seconds at medium-firm pressure for a clean bond
- Hot/Cold peel — let it cool before pulling the film
- Have a Teflon sheet or parchment to protect your platen
If you're pre-pressing everything before the event, press the night before and let shirts cool fully before folding or hanging. Stack them loosely — don't compress fresh prints.
After the Event: What to Do with Leftover Transfers
Unused DTF transfers store well. Keep them:
- Flat (don't roll or crease them)
- In a cool, dry place away from humidity
- Away from direct sunlight
Properly stored transfers can stay press-ready for 12+ months. Save them for your next event, offer a restock for customers who missed out, or use them for online orders.
